Invoices

Create, send, and manage electronic invoices. This article covers adding line items, calculating sales tax, tracking unpaid balances via the Aging Report, and processing client payments.

Overview

Create and email electronic invoices to your clients with a link that allows them to pay online anytime. All invoices are assigned to a specific Payer.

How to Create an Invoice

  1. Go to Invoices in the left navigation bar and click the "+" icon.

  2. Select a Payer and click Next.

  3. Add Items: Select existing items from the dropdown or type to add new ones.

  4. Taxable: Check this box only if you are collecting sales tax on that specific item.

  5. Tax Rate: You can check the box to have ClientPay automatically calculate tax based on the Payer's zip code, or enter a manual default rate.

  6. Discount Rate %: Enter the percentage for the discount (enter 0 if there is no discount).

  7. Merchant Account: If you have multiple accounts, ensure the correct one is selected so funds are routed to the right bank.

  8. Finalize: * Send Invoice Immediately via Email: If checked, the invoice sends as soon as you save.

    • Issue: Finalizes and saves the invoice.

    • Save As Draft: Saves your progress without sending.

    • Preview Invoice: Downloads a .pdf so you can review the layout before issuing.


Tracking Unpaid Balances

Once an invoice is Issued, you can track it via the Open Balance graph and the Aging Report on the Invoices tab.

Note: Payments received against these invoices will automatically adjust the balance and apply the payment directly to the Payer’s account.


Managing Invoice Details

From the Invoice Details screen (or the Make Payment button in the list view), you can perform the following actions:

  • Make a Payment: Process a payment using a saved method or a new one.

  • Write Off: Clear the remaining balance.

  • Cancel: Void the invoice entirely.

  • Resend: Send the invoice email to the client again.

  • Download: Get a PDF version of the invoice.

  • History: View the full payment history for that specific invoice.
