ClientPay Link Quick Reference Guide

This guide provides an overview of all features available within the ClientPay 2.0 payment portal. Use this as a map to navigate your tools and optimize your firm's billing workflow.

Core Operations

  • Dashboard: A visual command center displaying your firm's processing statistics. Monitor daily, monthly, and year-to-date volumes and identify where your payments are originating.

  • Enter Payment: Your "virtual terminal." Manually key in payments from staff workstations. Required fields are highlighted in yellow to ensure you capture the necessary data.

  • Payment Manager: A robust reporting engine. Search the entire transaction database, run pre-made reports, or export data to Excel. You can also process refunds, resend receipts, or use Quick Pay to charge a card again from the detail screen.

Client & Payment Management

  • Payers: Centralized records for your clients. Store secure payment methods, view history, and manage Connect associations. You can create Payer records before, during, or after a transaction.

  • Payment Schedules: Automate future billings with recurring plans. You can create a plan within a specific Payer record or build a general schedule and enroll multiple payers simultaneously.

  • Alerts: Look for the badge icon to stay informed on failed payment schedules. Click the icon to resubmit, update payment methods, or resolve declined transactions.

Invoicing & Collection Tools

  • Invoices (Optional Add-on): Send itemized electronic invoices via email. Payments made through the link automatically update the invoice balance and the Payer’s account.

  • Send for Payment: A simplified tool for quick collections. It sends a secure payment link that does not require the client to log in—ideal for older, outstanding balances where itemization isn't required.

  • Payment Pages: Create self-service web forms for your website or email signature. No login is required for clients.

    • General Pages: Standard templates for basic collections.

    • Item-based Pages: Calculate totals (including tax) based on specific quantities selected by the client.

    • Security: Enable reCAPTCHA to protect your pages from bots.

Integrations & Administration

  • Connect (Optional Add-on): Direct synchronization with Enterprise, 3E, ProLaw, and Aderant. Sync time and billing data to accept payments and post them back to your matter management system automatically.

  • Users & Settings (Admin Only): Manage team access, set permissions, and customize system-wide preferences—including receipt messages, branding, and multi-language translations (French/Spanish).

  • User Profile: Access your profile in the top-right corner to log out, change passwords, or customize your UI with background images and high-contrast color schemes.
